To check a residence card case in Gdańsk, start with the official Pomeranian Voivodeship Office website and follow “Sprawdź stan sprawy”. A status entry can help you identify the stage. It is not a substitute for a decision, a document request or a card collection notice.
Use the official case portal
The Foreigners Affairs Department website links to the Portal Klienta. Follow that link rather than a similarly named commercial service. Enter the information requested by the official portal, and keep case identifiers out of public comments and social media groups.
Have your case reference, if assigned, application date and most recent letter available. A MOS draft identifier may differ from the reference used by the voivode. For an electronic application, also check that it was actually sent through MOS and keep its UPO receipt.
MOS and the regional portal serve different purposes
MOS helps establish whether the application was sent. The regional portal provides information about the local case. Updates need not appear in both systems at the same time.
The Office for Foreigners explains that UPO becomes available after sending. A separate certificate of submission becomes available after an official verifies and approves the application. An email saying the application is ready to submit is therefore different from proof that it was submitted. Our MOS guide explains the sequence.
Read the stage without assuming an outcome
Application assessment, the residence permit decision and production of the physical card are separate events. A positive decision does not automatically mean the plastic card is ready. A status that has not changed is not, by itself, evidence of refusal.
If a request appears, read the actual letter. Identify the documents requested, the response channel and the date from which the deadline runs. A general “in progress” entry does not cancel a deadline in official correspondence. Check the delivery channel used in your case and whether correspondence was delivered to an appointed representative.
If your application cannot be found
- Compare the reference and spelling with the latest official letter.
- Confirm that you have a submission receipt rather than only a saved form.
- Check whether the case was transferred after a move to another voivodeship.
- Prepare a short enquiry stating the reference, submission date, last known stage and a specific question.
Use the current contact method listed on the department website. The visitor address and postal address may differ. Keep copies and delivery receipts. Repeatedly sending the same attachment through several channels without a reason makes your own records harder to follow.
Common questions
Can the portal predict my collection date? A case stage is not a guaranteed decision or card production date. Read our guide to residence permit waiting time.
Does a visible application let me work or travel? A portal entry alone does not establish either right. Permission to do a particular job and the documents required for crossing a border need separate checks.
Pobyto offers help with an existing application, including reviewing correspondence and identifying the next step. Start with a short description of the problem rather than sharing case documents publicly.
