Short answer
A wezwanie is an official request, not a refusal of your residence application. Keep the full letter and delivery evidence, then identify the required actions, deadline and permitted response method. Formal defects, additional evidence and an in-person appointment have different consequences.
Identify what the office needs
Locate the case reference (sygnatura sprawy), legal basis, requested items and pouczenie explaining consequences. Read every page. Where a representative receives correspondence, the date they forward a photograph to you does not replace the legal delivery date.
| Wording in the request | What to establish |
|---|---|
| Braki formalne | Required application elements that must be corrected |
| Dokumenty / wyjaśnienia | Facts that need supporting evidence |
| Osobiste stawiennictwo | Appointment date, originals, fingerprints and signature |
For formal defects, Article 64 § 2 of the administrative procedure code, KPA, provides at least seven days with a warning about leaving the application unexamined. This does not give every official letter a seven-day deadline. For a new MOS temporary-residence proceeding, an evidence request under Article 106f of the Foreigners Act provides at least 14 days from delivery. Older proceedings and personal attendance require their own rule and letter to be checked.
Calculate the deadline from the right event
For a period expressed in days, the day of the starting event is generally excluded. Weekends within the period still count. If the last day is a Saturday or statutory public holiday, Article 57 KPA supplies a rollover rule. Electronic or substitute service can produce a legal delivery date different from the day you read the letter.
Record delivery, the response deadline and any appointment separately. If a period has expired or delivery is disputed, take the documents to an adwokat or radca prawny.
Prepare a point-by-point response
1. Match every requested item to a document or explanation.
2. Include your details, case reference and request date in a covering letter.
3. Number attachments; check signatures and any requirement for a Polish sworn translation.
4. Use a permitted submission method and retain evidence of submission.
UdSC’s MOS guidance says a submitted application cannot be edited and MOS is not a correspondence channel with the office. An ordinary email should not be assumed to constitute a valid submission either; Article 63 KPA governs electronic applications. A scan does not replace originals or personal attendance where required. See the MOS attendance guidance.
If an employer’s document will arrive late
Before the deadline, send a reasoned request through a valid channel. Explain the missing item, cause, steps taken and expected availability. Include evidence you already have and satisfy the remaining requirements. Asking for more time does not automatically extend a deadline or cancel an appointment.
Gdańsk, Warsaw and other voivodeships
Respond to the office handling your case using the details in its letter. Verify its address, appointment process and method for presenting originals. One region’s arrangements do not apply throughout Poland. The Greater Poland office’s glossary explains the distinction between formal review and assessing residence conditions.
Frequently asked questions
Does a wezwanie mean my application will be refused?
No. It requests information or an action. The outcome depends on the request, your response and the facts.
Can I send only documents that are ready?
Check every item. A partial response may fail to cure a formal defect; missing evidence can affect the decision.
Can I upload the missing documents through MOS?
A submitted application cannot be edited. Follow the valid response channel for your case.
